A smooth intake process sets the tone for the entire client relationship. Start by creating an online inquiry form to collect basic family details before the first call. Use automated scheduling tools to eliminate the email ping-pong and deliver a warm, professional welcome sequence that educates families on your process and pricing.

A system like this makes your agency feel polished and intentional, and it also sets clear expectations from the start.

2. Candidate Vetting & Database Management

As your pool of caregivers grows, so does the chaos unless you organize it. Create a consistent system for tracking interviews, references, certifications, and availability. Whether you use a CRM, a spreadsheet, or a database platform, your candidate information should be easily searchable and always up to date.

This helps you reduce placement time and serve your clients with speed and accuracy.

3. Placement Workflow

If you are rebuilding the process from scratch every time, it is time to document it. Map out every step of your placement process–from inquiry to trial to offer to contract–and turn it into a checklist that you (and eventually your team) can follow every time.

Your agency should be tracking every placement, payment, and follow-up. Use invoicing tools to set up payment plans and reminders, and create check-in touchpoints at 30, 60, and 90 days post-placement to maintain long-term relationships.

These systems build trust with families, create recurring revenue opportunities, and ensure nothing slips through the cracks.
